The monthly ten minutes

Once a month, in the calendar: rerun ten questions from your test set, including the "does not know" ones, and check the answers still match the documents. Look at what has changed in the team since last month, a policy, a process, a person, and update the document that covers it. Check the assistant's usage if the tool shows it, and see which questions are being asked that you did not build for.

Ten minutes, honestly. The documents were structured for this: one topic each, dated, in one folder. Updating one is a two-minute edit. The routine keeps the whole thing trustworthy, and the alternative is a slow decay that nobody notices until a wrong answer causes a problem.

In practice. A team lead's monthly check found the expenses limit had changed and the document had not. Two minutes to fix. The previous system, her memory, would have caught it the next time someone asked her, which was the thing the assistant existed to stop.

At your desk. Put the monthly ten minutes in your calendar. Write the checklist: rerun ten test questions, review changes, update documents, review new questions. Do the first one now.
