AI for executive assistants, PAs and office managers

Last checked 26 September 2026

Assistant and office roles are full of the work AI is good at: turning messy material into something clear, drafting routine messages, and pulling actions out of meetings. They are also full of other people's personal information, which is where care is needed.

Where it helps most

  • Inbox triage: summarising long threads and drafting replies for you to edit.
  • Minutes: turning rough notes or a transcript into decisions, owners and dates.
  • Briefing packs: condensing papers into a one-page brief for your principal.
  • Travel and diaries: comparing options and drafting itineraries from details you provide.

What to be careful with

Diaries, travel and HR matters are full of personal data. Use your organisation's approved tool, redact names where the task doesn't need them, and keep health, family and disciplinary details out entirely unless there is a written policy that allows it.
